Used Excavator Undercarriage: Build a Purchase Baseline

A seller gives you the excavator's total hours but has no record of when the chains, rollers, idlers or sprockets were changed. That hour-meter figure is still useful as a machine-level data point, but it cannot date each undercarriage component. The practical response is to build a purchase baseline: identify the machine, record what you can verify today, and leave every unsupported part of its history marked as unknown.
This baseline is a buying and quotation record, not a remaining-life prediction. It helps a fleet or maintenance team compare evidence without letting clean paint, a single hour reading or an undocumented seller statement stand in for component history. It also creates a usable handoff for a technician and parts supplier. A full machine valuation, ownership check and independent inspection remain separate tasks.
Confirm the machine and undercarriage configuration
Begin above the tracks. Copy the manufacturer, model, complete serial or product identification number, displayed hours and any configuration details from the machine itself. Photograph the identification plate in context and then close enough to read. Ask the seller for service invoices, inspection reports, parts invoices and machine configuration records before interpreting the condition below.
This order has a sound precedent. Caterpillar's description of its own Certified Used inspection says its inspectors first review machine configuration, additions, service and repair history, and fluid-sampling results, then gather the tools needed for measurement. Its certification thresholds apply only to that program, but the sequence is useful to any buyer: establish identity and history before assigning meaning to measurements.
Serial range
A model name may cover more than one production configuration. Record the full serial number rather than stopping at the model badge, and note where the number came from. If a document abbreviates it, preserve the abbreviation but do not treat it as a confirmed match. A disagreement between the plate, seller's listing and invoice should remain an open identity conflict until the seller or a qualified technician resolves it.
For a parts enquiry, send the serial number, model and photographs together. Do not infer fit from appearance or model family alone. The baseline should say “serial range needs confirmation” when you have not matched the machine to the appropriate parts reference.
Evidence of previous component changes
Look for evidence that ties a change to both a component and this machine: a dated invoice with a part description, a work order, a legible part marking photographed in position, or a maintenance record that identifies the machine. Seller recollection can be recorded as a lead, but label it as an unverified statement.
Separate component changes by side and position. An invoice for track chains does not prove that the rollers or sprockets were replaced at the same time. Likewise, a recently fitted shoe does not reset the age of the link assembly beneath it. If the evidence does not identify what changed, keep the affected history unknown.
Record what can be measured before purchase
A baseline needs repeatable observations, not only adjectives such as “good” or “worn.” Photograph both sides from consistent angles, clear enough material to expose the measuring surfaces, and record the tool and method used. If access, safety or machine position prevents a measurement, write “not measured” and explain why. Never convert a missing value into a pass.
Caterpillar's inspection page lists a track measuring toolkit or ultrasonic wear indicator among the tools its trained inspectors may prepare and says remarks and photographs accompany critical components and adverse ratings. The ExcaYard buyer checklist also identifies distinct undercarriage checkpoints, including chains, sprockets, idlers, rollers, shoes, tensioner, track frames and final-drive housings. These sources support documenting separate components; they do not supply a universal wear limit for every excavator.
Component positions
Use a location label that another person can reproduce: left or right side, lower or carrier roller, roller number counted from the idler or sprocket, and the exact point measured. For track shoes, note whether you measured width, grouser height or another feature. For chain readings, identify the link span and where it was taken. Place a scale in close photographs when it helps show the location, while keeping the recorded tool reading as the primary value.
Pairs and repeated components deserve separate rows. An average can hide one seized roller, one damaged shoe or a side-to-side mismatch. Record the raw observations first; a technician can later decide whether grouping them is appropriate.
Matching the correct wear reference
Compare a measurement only with a reference that matches the machine serial range, component type, part number where known, and stated measurement method. Record the document title or source and its revision or access date. If a checklist gives a general percentage or numerical rule but you cannot confirm that it applies to this configuration, keep it as a question rather than a pass/fail threshold.

It is not evidence that one chain-pitch number or wear percentage applies across brands and models. Mark unknown history instead of filling the gaps
Unknown is a decision state, not a clerical failure. It tells the buyer which assumptions have not earned a place in the offer. A complete baseline may contain many unknowns and still be useful because it stops those gaps from being silently recast as evidence.
Mixed ages
A used undercarriage can contain components fitted at different times. Fresh fasteners, differing casting marks, paint condition or uneven wear may justify a follow-up question, but appearance alone does not establish an installation date. Record the observation, the exact position and the evidence available. Then label the age as confirmed, seller-stated or unknown.
Do not assign the whole undercarriage the date of its newest visible part. If one invoice confirms a right-side carrier roller replacement, that date belongs to that roller only. The rest of the system retains its own evidence state.
Missing service and replacement records
When the seller has only total machine hours, record the hour reading, its source and date, then state that component replacement history was not provided. Do not calculate “hours remaining” by subtracting the machine total from an assumed component life. Operating surface, track adjustment, loading, travel and maintenance can differ, and the accessible sources do not establish a universal wear rate.
Conflicts deserve the same discipline. If a seller says the chains were changed last year but an invoice names a different serial number, retain both facts and label the history conflicting. Ask for a corrected invoice, work-order detail or another traceable record. Until then, the conflict affects the quotation and the purchase decision; it does not become proof of replacement.
Turn the baseline into a parts enquiry
A parts supplier or technician can respond more usefully when the enquiry distinguishes verified machine data, measured condition and open questions. Immediate concerns
Put safety-related damage, visible cracks, oil leaks, missing hardware, components that do not rotate as expected, and identification conflicts at the top of the handoff. Describe what was seen and where; avoid diagnosing the cause from a photograph. If safe access or operation is uncertain, stop the observation and refer the machine to a qualified technician.
For the quotation, separate items that are clearly identifiable from items that remain provisional. Include the full machine serial, component position, any legible part marking, dimensions with units, measurement method and photographs. State whether each requested line is an immediate replacement enquiry, a price allowance, or a question pending inspection.
Items needing a technician's assessment
Escalate readings that lack the correct wear reference, irregular patterns that could have more than one cause, side-to-side conflicts, structural repairs, leakage and any condition requiring the machine to be raised or operated. A technician should also resolve whether a measured component can be assessed alone or whether mating components need to be considered together.
The buyer's register should preserve the evidence without claiming the technician's conclusion in advance. “Technician to determine cause and service action” is a valid output. It keeps a provisional quotation from becoming an unsupported instruction to replace or reuse a part.
Keep the purchase baseline for future comparisons
If the machine is purchased, retain the register, original photographs, source documents and unresolved questions in its maintenance file. The purchase date then becomes the beginning of your own traceable history. Later readings can be compared with the same positions and methods, provided the reference and configuration still match.
Event dates and component identity
Log each later event with the work date, machine hours, component identity or part number, side and position, work performed, supplier or technician record, and supporting photographs. If a component is moved, rebuilt or replaced, close the previous record and create a new event rather than overwriting the baseline.
Carry unresolved purchase questions forward until evidence closes them. Once a matching invoice, measurement or technician finding arrives, append it with its own date and source. This preserves what was known at purchase, what remained uncertain, and what changed afterward—the distinction that makes the baseline useful for the next service decision or parts enquiry.
